Accounting Specialist
Summary
Computes, classifies, records, and verifies numerical data for use in maintaining accounting records by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Compiles, sorts, and files documents, such as invoices and checks, substantiating business transactions.
- Audits invoices against purchase orders and receiving documents, researches discrepancies, and approves for payment.
- Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
- Computes and records charges, refunds, cost of lost or damaged goods, freight charges, rentals, and similar items.
- Monitors accounts payable to ensure that payments are up to date.
- Reconciles report discrepancies and problems.
- Codes data for input to financial data processing system according to company procedures.
- Reviews, balances, and interprets computer reports, and makes corrections.
- Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
- Assists in preparing 1099 for suppliers based on company tax guidelines.
- Assists in quarterly and annual audits as required, such as pulling invoices and verifying supplier paymrnts.
- Makes A/R calls for past due invoices.
- Matches general ledger coding against approved budget.
- Assists in the coordination, auditing, and completion of physical inventory.
- Other duties as deemed necessary by Controller or CFO.
Requirements: Ideal candidate will have excellent organizational, data entry, and customer service skills. A high school diploma and 3-5 yrs related accounting experience is necessary. A+ personality is required for this fast-paced environment.
Customer/Sales Liaison
Summary
Provide ideal customer service by communicating with customers and/or sales staff by following through on every aspect of the order. Ideal customer service is performed by completing the following duties.
Essential Duties and Responsibilities include the following. (Other duties may be assigned.)
- Receives customer orders, coordinates all purchase order details, enters orders into the database and prepares orders for shipment.
- Answers all inquiries such as tracking, pricing, C of A's, shipments, credits, scheduling, cancellation, adjustments, quotes, warehousing and any other information pertaining to orders, in addition to collecting bill of ladings to create invoices and any of the above aforementioned paperwork.
- Processes orders and acts as backup to offsite locations as a daily function.
- Works with assigned Sales person(s) to help analyze customer sales reports in an ongoing basis, to recognize buying patterns by product as requested.
- Maintains contracts (inputs into database, and works with Product Managers and Sales person to manage release dates for products).
- Submits Sample Requests from Sales Staff or Customer.
- Secures freight rates and sets up carriers with customers.
- Assists assigned Sales person to help satisfy customer's needs as deemed necessary.
- Additional duties as deemed necessary.
Requirements: Personality plus is a must!!! In addition to being a problem solver, who is detail oriented with good communication skills and a positive attitude, candidate must enjoy challenges. Qualified candidates will have 2-3 yrs. experience in an office setting with proven success as a customer service rep for a manufacturing facility.
